Gym management software in Qatar: one system for the whole club

What a gym's own system can run, from the door and the front desk to classes, payments, staff and reports, told through the ladies' gym system we built.

A gym runs on more than memberships: the door, the front desk, the classes and the trainers, the payments, the staff and the reports. A system of the club's own can hold all of it in one place, in Arabic and English. We built one for a ladies' fitness club: more than 30 modules so far, in daily use. The club is not named here, and its screens are shown with sample data.

What one system can run

  • The door: members check in with a code that changes every 30 seconds, and the door's access system feeds the same record
  • The front desk: members and their memberships, packages and discounts, registrations made online and approved at the desk, day passes and trials
  • Classes and trainers: class types, the schedule and its bookings, trainers and their packages
  • The money: payments in cash, by card, transfer or cheque or from the member's balance, split when needed; the café and salon tills, cash counts and accounting
  • The staff: attendance at the same code the members scan, shifts, leave, public holidays and payroll
  • The members' progress: InBody tests, training programmes and member rewards
  • Messages and screens: WhatsApp messages from templates, reminders, and the screens around the club with what each one plays
  • Reports: a daily, weekly and monthly report sent as PDFs, and insights

The door comes first

A member's visit starts at the door, so the system does too. A tablet there shows a code that changes every 30 seconds; members scan it with the club's app to record their visit, and the staff scan the same code to clock in and out. The door's access system feeds the same record, so the screen shows how many members are in the building now, and welcomes each member by name on arrival.

Each role sees its own part

The front desk, the trainers and the management each see their own part of the system, and the pages that show money need a permission of their own. The changes made across it are kept in an audit log, so who changed what, and when, can always be looked up.

Arabic and English, all the way through

The whole system works in Arabic and English, right to left and left to right, and so does the screen at the door, with a switch on it. A member is welcomed by name in either language.

Built around one club

A system like this is built around how the club already works, not a template the club has to fit. This one has been built on since January 2026, and it has grown, in daily use, to more than 30 modules. When a ready-made product would serve a club better, our note on custom software or off the shelf says how to tell.

Questions to ask before choosing gym software

  • Does it check members in at the door, and work with the access system the club already has?
  • Can it take every way the club is paid, and split a payment?
  • Does each role see only its own part, and is every change recorded?
  • Is it in Arabic and English all the way through, the members' side included?
  • Can it grow with the club, or does the club have to fit it?
